Axelcrew AI Inc. ("Axelcrew AI", "we", "us") is a Canadian company that provides AI-powered front-office software for small businesses and nonprofits. Our platform handles inbound and outbound phone calls, appointment booking, and customer communications on behalf of our clients ("Businesses").

2. Information We Collect

From Businesses (our clients):

• Business name, owner name, email address, phone number
• Business details: services offered, hours of operation, service area, pricing
• Account credentials (email + password, stored securely hashed)
• Billing information (processed by our payment provider — we do not store card numbers)

From End Customers (callers to our Businesses):

• Phone number (provided automatically by the phone network)
• Name and contact details (if provided during a call)
• Call recordings and AI-generated transcripts
• Appointment details, service requests, and messages shared during calls

Automatically:

• Call metadata: duration, direction (inbound/outbound), timestamp
• Dashboard usage data (pages visited, features used)
• IP address and browser type when accessing our dashboard

3. How We Use Your Information

• To operate the Axelcrew AI platform and answer calls on behalf of Businesses
• To generate AI summaries, transcripts, and call analytics for Businesses
• To book appointments, send reminders, and manage customer interactions
• To provide customer support and respond to inquiries
• To improve our AI models and platform (using anonymized, aggregated data only)
• To send service-related communications (invoices, updates, important notices)

We do not sell your personal information to third parties. Ever.

4. Call Recording & AI Processing

Calls handled through the Axelcrew AI platform may be processed, recorded, and transcribed in real time for the purpose of providing our services — including generating summaries, booking appointments, and routing enquiries.

Businesses are responsible for complying with any applicable call recording laws in their jurisdiction, including obtaining any required consent from their customers.

5. Data Sharing

We do not sell your data. We share data only with carefully vetted third-party service providers that are strictly necessary to operate our platform — including telephony, cloud infrastructure, AI processing, and data storage providers.

All third-party providers operate under data processing agreements and are required to handle data in accordance with applicable privacy laws. We regularly review our providers to ensure they meet our security and privacy standards.

We will never share your data with advertisers, data brokers, or any party for marketing purposes.

6. Data Retention

• Call recordings and transcripts: retained for 12 months, then permanently deleted
• Account data: retained while your account is active, plus 90 days after cancellation
• You may request deletion of your data at any time by emailing privacy@axelcrewai.com

7. Security

We use industry-standard security measures including encrypted data transmission (TLS), hashed passwords, and access controls. Our infrastructure runs on enterprise-grade cloud providers. No system is 100% secure — if we discover a breach, we will notify affected parties within 72 hours.

8. Your Rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Withdraw consent for processing (where consent is the legal basis)
• Lodge a complaint with your local data protection authority

9. Canadian & International Compliance

Axelcrew AI Inc. is incorporated in Canada and complies with PIPEDA (Personal Information Protection and Electronic Documents Act). For customers in the European Economic Area, we comply with GDPR obligations. For California residents, we comply with CCPA.

10. Children's Privacy

Our services are not directed to individuals under 18. We do not knowingly collect personal information from minors.

11. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated via email to registered Business accounts at least 14 days before taking effect.
